ECAC Rally Cry Community Setup Guide

A step-by-step launch guide for program directors, coaches, school administrators, and ECAC staff.

Set up your ECAC school community on Rally Cry before creating teams or registering for competition. Start by preparing the school details and access information ECAC needs, then use the checklist below to confirm your community is accurate, secure, and ready for launch.

From request to ready

  • Prepare – Gather school details, logo, contacts, and approved email domains.

  • Secure – ECAC staff creates and restricts the community.

  • Launch – Members join, teams are built, and readiness is verified.

Your setup journey

The school and ECAC staff complete different parts of one shared launch process.

  1. Prepare (school): Collect official details, contacts, logo, and domains.

  2. Check (school): Search ecac.gg for an existing school page.

  3. Request (school): Open an ECAC Discord Support Ticket if the page is missing.

  4. Configure (ECAC staff): Create, publish, restrict, and assign access.

  5. Verify (school and ECAC): Test joining and confirm branding.

  6. Launch (school): Add people, teams, accounts, and registrations.

If your school already has a community, skip the request step and begin with verification.

Step 1: Prepare one complete setup packet

Collect the following before opening a Support Ticket so ECAC staff can configure the page correctly.

School identity

  • Official university or college name

  • Esports program display name

  • City, state/province, and country

  • Official website and program links

Branding

  • Approved school or esports logo

  • PNG is preferred, with a transparent background

  • A square or horizontal version that remains readable

  • Confirmation that the school may use the artwork

Secure access

  • Primary institutional email domain

  • Student or staff subdomains, if different

  • Any legitimate legacy school domains

Do not submit gmail.com or another public domain.

People and contacts

  • Primary program director or school administrator

  • At least one backup program contact

  • Rally Cry account and Discord username for each lead

  • Two contacts reachable by direct message in the ECAC Discord

Competition plan

  • Games the school expects to enter

  • Approximate number of teams and players

  • Expected coaches and team captains

  • Target season and registration deadline

Step 2: Find the page or request a new one

Search first. If the school is missing, contact ECAC staff through a Discord Support Ticket.

If the page exists

  1. Open the Communities directory and search the full school name.

  2. Confirm the location when similar names appear.

  3. Use the existing community. Do not create a duplicate.

  4. Report incorrect branding, domains, or access through a Support Ticket.

If the page is missing

  1. Join the main ECAC Discord.

  2. Open a Support Ticket for ECAC staff.

  3. Paste the complete setup packet from Step 1.

  4. Wait for confirmation before inviting students or creating teams.

Step 3: Find and join the correct school community

  1. Open Communities and search for the school name.

  2. Confirm the school name and location before joining.

  3. Open the verified school page.

  4. Select Join using the approved institutional account.

  5. Confirm the school appears under My Colleges.

If the page already exists, use it. Report corrections instead of creating a duplicate.

Step 4: Secure and verify the community

ECAC staff configures the platform controls; the school lead confirms that the finished page works as intended.

  • Images: Approved logo and banner

  • Registration: Join Restricted is enabled

  • Domain Restrictions: Institutional domains are listed

  • User Access: Approved school lead role is assigned

  • The completed community page is published

School lead verifies

  • The correct school page opens at ecac.gg

  • Name, location, and logo are accurate

  • A valid school email can join

  • A public or unrelated email is not approved

  • The approved lead has the expected management access

  • No duplicate community page is being used

Platform paths: Security: Community > Settings > General > Registration > Join Restricted and Domain Restrictions. Management: Community > Settings > User Access.

Step 5: Assign ownership before inviting players

Clear ownership keeps the school community, team rosters, and competition communication accurate.

  • ECAC staff – platform setup: Creates and secures the school community; corrects domains, branding, or elevated access.

  • Program director – community owner: Owns school-side accuracy and contacts; coordinates coaches, teams, and deadlines.

  • Coach – team manager: Creates teams and maintains rosters; registers the correct team for competition.

  • Team captains and players – competition users: Captains serve as reachable team contacts. Players confirm profiles, handles, and roster roles.

Wichtig

ECAC communication standard: maintain at least two team contacts reachable by direct message in the main ECAC Discord. Directors, managers, coaches, and team captains should join the server before competition begins.

Step 6: Move from community to competition

Complete these steps in order for every coach and player.

  1. Join – Sign in at ecac.gg and join the correct school community with an approved email.

  2. Confirm – Verify the school appears under My Colleges and that the correct lead has management access.

  3. Create teams – Coaches create each team and select the school community it represents.

  4. Build rosters – Add starters and substitutes, then designate one or two rostered Team Captains.

  5. Prepare players – Players add Discord, required game handles, linked accounts, rank, and public profiles where required.

  6. Register – Choose the correct season, game, and division; complete every required competition form.

Common setup problems

Use a Support Ticket for changes that require ECAC staff access.

  • School is not listed: Search the full official name and location. If it is still missing, submit the setup packet.

  • Join request is denied: Confirm the account uses an approved school email. Send the exact institutional domain to ECAC staff.

  • Wrong or duplicate page: Do not build teams under both pages. Send both community links and identify the correct school page.

  • Lead cannot manage: Send the community link and the lead's Rally Cry account details through the Support Ticket.

  • Logo, name, or location is wrong: Attach the approved replacement and an official school source confirming the correction.

  • User only has a public email: Do not whitelist gmail.com or another public domain. Ask ECAC staff for the approved exception process.

Include in every ticket: school name, community URL, affected account, expected result, and a screenshot of the issue.
